Wedding Venue Contract Checklist: 15 Things to Verify

By Magica
Wedding celebration inside a venue

A beautiful venue is only the beginning. Before you pay a deposit, read the wedding venue contract line by line and make sure every verbal promise appears in writing. The checklist below covers the terms most likely to affect your budget and wedding-day experience.

15 points to check before signing

  1. What the quote includes: Ask whether taxes, service charges, furniture, linen, lighting, cleaning and security are included.
  2. Guest capacity: Confirm seated dining, ceremony and dancing capacities separately.
  3. Event timings: Check access, setup, guest entry, breakdown and overtime charges.
  4. Music cut-off: Record the permitted sound level and the exact end time.
  5. Food service: Confirm menus, tastings, meal timings, children’s meals and late-night food.
  6. Alcohol rules: Clarify licences, corkage, service hours, permitted suppliers and closing time.
  7. Catering policy: Ask whether outside catering is allowed and what kitchen access costs.
  8. Décor permissions: Check installation windows, hanging restrictions, candles, flowers and confetti rules.
  9. Outside services: Note any mandatory in-house services and fees for external teams.
  10. Rooms and blocks: Confirm room inventory, check-in, check-out, upgrades, breakfast and release dates.
  11. Payment schedule: Write down deposits, instalments, taxes, due dates and accepted payment methods.
  12. Cancellation terms: Understand refund rules, postponement options, force-majeure language and rebooking fees.
  13. Weather backup: Identify the indoor plan, its capacity, setup time and any extra cost.
  14. Access and permissions: Ask about parking, transport, fire safety, local permissions and accessibility.
  15. Named contacts: Get the person responsible for planning, event-day operations and emergencies.

Ask for an itemised final estimate

Request a version that separates venue hire, rooms, food, beverages, taxes, labour, overtime, décor-related charges and optional upgrades. This makes it easier to compare venues and prevents a low headline price from hiding essential extras.

Keep a written change log

Wedding plans change. If the guest count, menu, event timing or room block changes after signing, ask for an updated estimate and written confirmation. Store the signed contract, invoices, menus, floor plans and emails in one shared folder.

A contract checklist is not about expecting problems; it is about giving both sides the same version of the plan. If a clause is unclear, ask for an explanation before transferring the next payment.
